Employee Rewards & Recognition Program

PREFACE
While the awards and categories listed in this program offer a wide range of opportunities to recognize employee performance, this program is not intended to eliminate or reduce the significance of informal appreciation and recognition. Daily recognition from supervisors, colleagues, and customers are highly encouraged. Informal recognition supports the formal program and is extremely important to the well-being and morale of Imperial Valley College.

PURPOSE
The Imperial Valley College Employee Rewards & Recognition Program (ERRP) was established in an effort to recognize and reward a diverse staff who have made extraordinary contributions towards the success of the District mission or to the community at large.  The intent of this program is to enhance employee recognition and make it an integral part of our culture.

According to a survey conducted by the Society of Human Resources Management, eight out of ten organizations have developed and implemented an employee recognition program (SHRM/Globoforce, 2011).  More locally, an anonymous survey was conducted through the Human Resources Office at IVC of all employees to gauge employment satisfaction levels. Sixty three responses were received. Of this sample, over fifty percent of respondents reported low satisfaction levels with feedback and recognition they receive as employees of the College.  Faced with an economy that has left members of the community feeling insecure and overwhelmed, recognition programs, which have a positive correlation with promoting employee engagement and satisfaction, are projected to enhance the Imperial Valley College experience for stakeholders.

"To recognize District employees who have made an extraordinary contribution to the District's Mission."

PROGRAM DESIGN
Overview:
The ERRP provides a systematic method for acknowledging employee achievements by tracking great things that IVC employees do, publicly announcing such accomplishments to the College community, and celebrating these achievements annually. The Program is managed by the Office of Human Resources, and facilitated by the CHRO with the help of the Presidential Employee Recognition Committee (PERC). The ERRP encourages employee recognition, selects award recipients, and hosts events to celebrate outstanding employee achievement.

The Presidential Employee Recognition Committee (PERC):
In order for the ERRP to maximize its value to the campus community, a highly motivated team is designated by the President.  The PERC is comprised of an aggregate of the campus community.  Members are selected through an application process with recommendations by President's Cabinet for approval by the President.  The CHRO serves as an Advisor to the Committee and is required to vote when a tie breaker is required.

PERC Committee Responsibilities:
The PERC is responsible for reviewing all nominations and selecting award recipients, coordinating all ERRP events, and producing ERRP awards and take-away.  To ensure objectivity, members of the PERC may submit nominations, but may not vote on their submission.

Specific Duties Include:

  • Coordinate ERRP events; plan and make arrangements for the award ceremony;
  • Secure awards and gifts and ensure timely delivery to recipients;
  • Design award certificates and plaques; prepare the certificates to be presented to the winners;
  • Promote the program and encourage the campus community to submit nominations;
  • Market and communicate events to the campus community; publicize the awards ceremony;
  • Communicate selections to senior leadership;
  • Develop outside sources to provide rewards and prizes.

Service Limits:
Members serve on the PERC for a period of no less than two (2) years.  After a member reaches the end of the period, the President makes a decision regarding continued service.

PERC Committee Meeting Schedule:
Meetings are generally held on a quarterly basis and the schedule will be determined at the beginning of each academic year.  Meetings can take place more or less often as necessary.  

NOMINATION INFORMATION
Nomination Guidelines:
Recognizing the unique skills and contributions of employees is the cornerstone of the PERC.  The timeline for submitting nominations is flexible. Nominations received by the first day of May will be reviewed for the annual award ceremony, which is held at the annual IVC Convocation.  

How to Nominate and the Nomination Process:
You can make a nomination by clicking on the nomination form link on the right.  After a nomination is submitted, an email notification confirming receipt will be sent to the nominator.  This nomination process is accessible to all stakeholders of the campus community, such as employees, students, customers, and guests of the College. To ensure that employees who do not have access to a computer have the opportunity to engage in the nomination process, hard copy nomination forms are available through the Human Resources Office.  The Office of Human Resources is responsible for ensuring that all nominations are presented to the PERC for consideration, and that guidelines are adhered to.

Selection Process:
The PERC Committee ensures that the method for evaluating nominations and selecting award winners conforms to the award eligibility criteria.
The Committee is mindful that:
•All Committee discussions are confidential.
•The nominator may be contacted for additional information.
•Changes may not be made to Nomination Forms without discussion and agreement by the PERC Committee.
•Each category need not have a winner. If the Committee finds that accomplishments in a particular category are deficient or that there are not enough nominations, the committee may choose not to make an award in that category.
•If two (or more) nominees within a category are deemed to have achievements of equal weight, it is possible that multiple winners may be declared.

AWARDS - DESCRIPTION AND ELIGIBILITY

 

Collaboration Award

Description:

 

The Collaboration award recognizes employees that worked together achieve the District's Mission through team work. Nominations can be made by any member of the campus community.

 

 

 

Eligibility:

 

Eligibility is open to areas, departments, committees, or groups with two or more employees.

 

 

 

Frequency:

 

Award can be given annually.  Recipients will be recognized annually at the IVC convocation.

 

 

 

Incentive:

 

The recipients will receive a paid "team" meal and house the giant team award trophy with their picture until there is a subsequent winner.

 

 

 

 

 

 

Impact Award

Description:

 

The Impact award recognizes faculty members who made an extraordinary contribution to student success and learning. Nominations are made by stakeholders of Imperial Valley College.

 

 

 

Eligibility:

 

Eligibility is open to full-time and part-time faculty only.

 

 

 

Frequency:

 

Award can be given annually.  Recipients will be recognized annually at the IVC convocation.

 

 

 

Incentive:

 

The recipients will receive a parking spot of their choice for one year, and gift card worth up to $100.

 

 

 

 

 

 

Exemplar Award

Description:

 

The Exemplar award is a leadership award that recognizes administrators and managers who model IVC's core values: Excellence in education, development of intellect, character and abilities to achieve career goals and responsive to the greater community. Nomination for this award is made by a staff member who reports directly to the supervisor.

 

 

 

Eligibility:

 

Eligibility is open to administrators and managers only.

 

 

 

Frequency:

 

Award can be given annually.  Recipients will be recognized annually at the IVC convocation.

 

 

 

Incentive:

 

The recipients will receive a parking spot of their choice for one year, and gift card worth up to $100.

 

 

 

 

 

 

Above and Beyond the Call of Duty (ABCD)

Description:

 

The ABCD award recognized any staff member who demonstrates positive and professional interaction with others, a commitment to professional growth, development, or volunteering, and willingly demonstrates performance beyond what is expected.  Nominations are made by stakeholders of Imperial Valley College.

 

 

 

Eligibility:

 

Eligibility is open to all staff members of Imperial Valley College.

 

 

 

Frequency:

 

Award can be given annually.  Recipients will be recognized annually at the IVC convocation.

 

 

 

Incentive:

 

The recipients will receive a parking spot of their choice for one year, and gift card worth up to $100.

 

 

 

The President's Excellence Award

Description:

 

This award recognizes any member of IVC who: continuously contributes to the effective delivery of the services throughout the campus community; personifies the core value of IVC when interacting with the campus community at large and beyond; regularly shows good judgment, independent thinking, and initiative; and goes above and beyond performance expectations; displays a sense of responsibility for his/her actions; demonstrates willingness to continuous self-development and a desire to learn new approaches to delivering efficient/effective services to campus customers; is a role model and an inspiration to all members of the campus community, students, faculty, staff, visitors, and business and community partners; demonstrates "value-added" performance through participation in college initiatives, conveys, through interaction with the campus community, a dedication to excellence, service opportunity.  Nominations are made by stakeholders of Imperial Valley College.

 

 

Eligibility:

 

Eligibility is open to any member of Imperial Valley College who has been in an employee for five years or more. There is a five year waiting period after winning this award.

 

 

 

Frequency:

 

One (1) recipient will be recognized annually at the IVC convocation.

 

 

 

Incentive:

 

The recipients will receive a parking spot of their choice for one year, and gift card worth up to $250.

 

 

 

 

 

 

Great Employee Moment (GEM)

Description:

 

Employees have the opportunity to show appreciation to one another through the GEM. This note serves as a quick thank you that can be sent directly from one individual to another. The GEM can be done online and emailed or you can request a pre-printed.

 

 

 

Eligibility:

 

Eligibility is open to all staff members of Imperial Valley College.

 

 

 

Frequency:

 

Award can be given on an on-going basis.  Recipients will be recognized continuously. All employees that receive a GEM will be entered into a drawing that will be done at convocation.

 

 

 

 

 

 

Years of Service Award

Description:

 

A stable and productive workforce is crucial to any organization. Imperial Valley College is extremely proud of the dedication shown by its employees and the number of employees who have dedicated many years of service. Appreciation for 5, 10, 15, 20, 25, 30, 35, and 40 years of service.

 

 

 

Eligibility:

 

Eligibility is open to all full-time staff members of Imperial Valley College. Eligibility is determined by date of hire with a cut-off of June 30, 2015. If the employee completes the year of service prior to June 30, 2015 they will be eligible for the award.

 

 

 

Frequency:

 

Award is given annually.  Recipients will be recognized annually at the IVC end of year celebration.

 

 

 

Incentive:

 

The Recipients will receive an awards based upon completed years of service.

 

 

 

Program Evaluation and Modification:
The ERRP is intended to be an active and responsive process. As such, the program is assessed and evaluated regularly to provide program enhancements and adjustments as the community develops.

Other:
Along with evaluation of the ERRP program, the PERC will also distribute random climate surveys to the community at large to gauge the efforts of the District towards the Mission.  All new employees will also receive the 90 day - Employee Satisfaction Survey.  Both surveys will help the PERC set new goals and gauge the status of the District in meeting the Mission.
